What you’ll be doing…
As part of Academic Development within Academic Services, the Administrative Assistant will provide confidential day-to-day administrative support to the Director, Academic Development.
The successful candidate will be responsible for ensuring the daily activities of the Director are organized efficiently. This involves coordinating calendars, email and phone calls, meeting logistics and file management. The incumbent will respond to inquiries, will initiate actions and respond independently when appropriate, and will demonstrate independence and initiative in anticipating needs, while juggling multiple and competing priorities. Exceptional organizational skills, and experience in providing advice and support for effective file and time management are essential.
As a key role in the Academic Development team, this position will fully support the Director in their work on a wide-range of issues and opportunities of organizational significance, including human resources, budget planning, stakeholder relations and more. Confidentiality and discretion are absolute requirements of this position. This position will also provide support to the entire department including Academic Quality and Curriculum Services.

Post-secondary diploma in business or office administration
A minimum of five years of administrative support experience at senior levels in a fast-paced office environment
Excellent computer skills with a high level of proficiency in Microsoft Office suite including Outlook
Proven experience with organizing and prioritizing a demanding workload while meeting deadlines
Demonstrated communication skills (written and verbal) with the ability to translate information into clear and concise objectives that can be communicated to different audiences within all levels of an organization
Experience with the coordination of projects, specifically with research, tracking and analysis
Experience with PeopleSoft would be considered an asset.

Known for superb organization skills, ability to multi task and comfortable working in a complex and ever changing atmosphere
Ability to exercise judgment, tact, diplomacy and confidentiality in managing the day to day office operations

Proven ability to manage multiple agendas, work independently, exercise judgment and assume accountability
Ability to plan, schedule and perform a wide variety of difficult and complex administrative functions
Strong interpersonal skills with the ability to interpret policies and procedures accurately
Ability to establish and maintain accurate up-to-date records with proven skills in organizing and coordinating activities and events
Ability to communicate effectively, both orally and in writing
Ability to maintain effective working relationships with other staff, internal and external clients, and departments.
