AMIRIX - Sales Administration Assistant

We are currently looking for an experienced Sales Administration Assistant to work with the Sales team in the execution of the Sales process from proposal creation to delivery. They will respond or redirect incoming prospects or customer enquiries as well as review peer orders. They will monitor export compliances, maintain due diligence records accordingly and liaise with shipping regarding any high priority or high maintenance shipments. The Assistant will work with the Manager and liaise with other divisions / departments within AMIRIX as well customer contracting officers / procurement staff and external Acoustic Network Administrators.
Duties Include, but are not limited to, and are in no particular order:
Assists in the development, documenting, execution and tracking the sales process and parts there-of.
Monitor incoming enquiries and distribute accordingly.
Maintain VR100 Student Applications record.
Maintain Sales ‘surplus stock’ records.
Maintain Acoustic Network Membership lists and ensuring Members are ‘tagged’ accordingly.
Entry of Proposal/Quotes and Sales Orders liaising with external Contracting and Procurement personnel when necessary as well as assisting with the management and tracking of active orders in-house on behalf of the Team.
Maintain export compliance lists and due diligence records and liaise closely with Team and Shipping personnel if needed.
Monitor bid opportunity sites and assist with registrations to Bid, Opportunity and Customer Procurement sites.
Assist Australian office by printing, reviewing and forwarding customer orders into Production.
Other reporting, record keeping, information gathering, project specific tasks as needed by both internal team members and other departments. (e.g. Acoustic Network & Marketing lists.)
Provides ongoing suggestions and communications for improving the overall sales process from both an internal team member’s prospective as well as from interactions with other departments and customer dealings.
Work experience & skills:
Experience working in a manufacturing environment
Must excel in a team environment
Must be able to tackle many projects concurrently and set priorities accordingly
Must be able to work in a fast paced & hectic environment
Must be detail oriented
Must have strong data entry skills using Syspro / Word / Excel / Jira / Confluence / CRM
Must have knowledge of Procurement & Contracting processes/procedures
Must be able to work with medium to low supervision
Must be proactive as well as reactive
Must be flexible as well as adhering to best practices
Finance/Accounting experience an asset
Governmental transactions experience an asset
Legal terminology as asset
Experience working with ERP software required and with Syspro considered an asset
