The YMCA of Greater Halifax/Dartmouth is hiring! We are looking for an Executive Assistant to support our President & Chief Executive Officer, Board of Directors, and Senior Executive teams working out of Spring Garden Road location.

The Opportunity
As Executive Assistant you will serve an integral role in enhancing the strategic, efficient administrative of the office of our President & CEO, as well as support in our areas of fund development and communications for the Executive Office, Board of Directors and Associated Committees. Through collaboration with Functional and Senior Leadership you will provide administrative support towards the achievement of key operational objectives and delivery of our mandate of Building Healthy Communities.
Specifically, you will be responsible for:
Providing quality, strategic, efficient administrative support, including management of meeting scheduling/RSVP lists, executive calendar management, event logistical planning and executive, and compilation of Board packages and meeting materials (i.e. agendas, minutes, action plans, etc.).
Coordination, maintenance, and support of Board and Volunteer Mandatory Requirements (i.e. Criminal Record Check, Vulnerable Sector Check, Child Abuse Registry Check) in keeping with YMCA Child Protection and Risk Management processes
Prepare, finalize, and distribute high quality communications/correspondence on behalf of the President & Chief Executive Officer and Executive Leadership.
Support and assist Donor and Volunteer Recognition and Administrative tasks, such as maintaining donor database and payment systems, receipting, and coordination of donor communications and mailings.

Qualifications
Degree, diploma in Office Administration or related program, or equivalent combination of education and experience
5+ years of experience as Executive Assistant, experience in not-for-profit setting would be an asset
Demonstrated ability to accurately capture meeting minutes and agenda action items
Strong attention to detail and commitment to quality and efficiency
Superior interpersonal skills and ability to establish rapport
Demonstrated ability to tactfully handle sensitive situations
Demonstrated ability to manage multiple, competing deadlines and priorities
Intermediate to Advanced Microsoft Office Suite, spreadsheets, database maintenance
Flexibility to work irregular hours as required for meetings, events, etc. (i.e. early morning/late evening/weekend).
Note: Successful candidates will be required to provide a current and satisfactory Criminal Record Check/Vulnerable Sector Check, Child Abuse Registry Check, and proof of valid First Aid and CPR training.Employees will be required to attend YMCA Child Protection Training.
