Position profileThe Payroll Coordinator will be responsible for ensuring that the weekly payroll cycle in Canada and in the US runs flawlessly by preparing and processing the payroll for 300 employees every week. Responsibilities: Time Reporting:
Administration of the electronic timekeeping system
Validate approved timesheets and correct errors
Ensure accuracy of data transfers between Time system and Payroll service provider
Payroll Processing:
Ensure the accurate and timely processing of the weekly payroll cycle
Validate and approve Payroll, Time and employee master data prior to processing of weekly payroll
Resolutions of payroll discrepancies and errors
Identify, implement and document process improvements & guidelines
Benefit Administration:
Control and coordinate end-to-end Benefits processes, ensuring the highest level of customer service and quality control
Design and implement standards and controls for Benefits master data to ensure accuracy and completeness
Collaborate with Labor Relations to ensure a solid understanding of all negotiated changes to the various benefit plans as they relate to collective agreements
Coordinate system updates to ensure any changes to benefit plans are current
Audits & Controls:
Reconciliation of Payroll related General Ledger Accounts
Identify root causes of issues; initiate, recommend and implement corrective measures
Ensure compliance with federal, provincial and state regulations and guidelines. Collaborate with Taxation to ensure proper application of new legislative requirements.
Identify, implement and track preventive and detective automated, analyze exceptions and perform required corrections to protect the accuracy of payroll operations
Reporting:
Develop, manage and maintain comprehensive payroll records
Prepare ad hoc payroll reports and reconciliations, as required
Coordinate, review and validate Yearend tax slips
Ensure timely filing of Yearend summaries and tax slips
Deductions & Remittances:
Reconciliation of federal, state and local tax payments to employee deductions
Maintenance, reconciliation and remittance of garnishments
Review and reconciliation of various payroll deductions to vendor payments
Education and skills required:
Bachelor Degree in commerce or accounting
Payroll Certification (Canadian &/or U.S.)
Proficiency in Microsoft Office with emphasis on Excel
Canadian and U.S. Payroll experience
Bilingual (French & English)
