What you’ll be doing…
The Administrative Assistant is part of a team that provides administrative support services to the HR Management Team.
The Administrative Assistant has the overall responsibility for the day-to-day administrative functions of the Labour & Employee Relations and HR Consulting unit. The incumbent maintains the filing system (electronic and hard copy), oversees expense claims and invoices; has calendar management responsibilities; is responsible for all meeting logistics and is responsible for providing confidential administrative support on HR matters.
The incumbent is responsible for coordinating and tracking union grievances, taking and distributing minutes for college union committees mandated by three collective agreements, and coordinating materials and meeting arrangements for collective bargaining. The incumbent is responsible for coordinating and distributing materials and meeting arrangements for three job evaluation committees. Under the guidance of the Employee Relations Consultant, the incumbent prepares seniority listings for all three bargaining units. The Administrative Assistant must be versatile, flexible and experienced in supporting Human Resources activities. This position requires a high level of initiative with an incumbent who anticipates needs and takes proactive measures within scope of authority. The incumbent is an integral contact person providing quality service to clients of the department.

Successful completion of a diploma in Secretarial, Business or Office Administration.
Demonstrated customer service experience is required
Experience organizing meetings, events and projects is required
Experience with basic accounting and financial records
Demonstrated positive attitude and approach
Experience that demonstrates initiative and a bias for action
Strong knowledge of computers, SharePoint, MS Word, Excel, and other programs. Ability to use various database systems such as PeopleSoft would be considered an asset.
Minimum skills and ability:
Must be highly organized, detail-oriented with the ability to multitask in a fast-paced environment.
Planning and organization skills: plan, schedule and perform a wide variety of moderately complex to difficult administrative tasks.
Ability to follow oral and written instructions
Ability to interpret collective agreements, policies and procedures accurately.
Ability to establish and maintain accurate, up-to-date records.
Ability to organize and coordinate activities.
Ability to communicate effectively orally and in writing.
Strong team player with the ability to build and maintain effective working relationships with colleagues and other departments.
Ability to demonstrate qualities of confidentiality, diplomacy, and discretion.
